Exporting responses

Download your data as CSV, Excel, PDF or Word.

Use Export in Analytics to download completed responses for analysis, reporting or an offline copy. Choose the format according to how you plan to use the result.

Download a dataset

Open Export

Open the survey's Analytics and select Export. Check the survey title and response count in the dialog.

Choose a format

Choose CSV or Excel for analysis. For PDF or Word, also choose Table or Individual layout.

Set dates if needed

Use the export dialog's From and To controls to narrow the completion-date range. Leave them empty for all completed responses.

Download and inspect

Select Export CSV, Export Excel, or the corresponding format button. Open the file and check the headers, response rows and a few known answers.
  1. Choose a format. CSV is selected in this example.
  2. Optionally narrow the completion dates with From and To.
  3. Download using the button for your chosen format.

Table puts responses together for comparison. Individual organises the document around one response at a time, which can be easier to read when answers are long. A PDF or Word report is a different presentation of the responses, not a replacement for the Questions analytics view.

Understand which responses are included

Completed responses only

Started, in-progress and abandoned responses are excluded. Preview answers are never stored, so they are not exportable either.

The export dialog has its own date controls. Filters selected in the analytics sidebar do not choose the export range for you. Compare the file with completed-response totals for the same period, rather than the number of people who started the survey.

A blank cell does not necessarily mean a failed export. The question may have been optional or bypassed by a branch. Inspect a known submission in Responses when you need to understand why a value is absent.

If the export is unavailable

A zero response count disables the download. Check whether anyone has completed the survey and whether the date range excludes their completions. A locked format may need a different plan.

Owner or Admin access is required

Editors and Viewers cannot export. Format availability and collaborator permissions are separate: having a plan with Excel does not give an Editor permission to download responses.

When opening CSV in another tool, check that it recognises the column headers and preserves the values you need. Keep an untouched copy before recoding answers or adding calculated columns. See filtering and roles and permissions.
